Tripgation Private Limited is an Indian travel management company, operating since 2015 and incorporated in 2020, with a head office in Noida and a branch in Patna. We handle flights, hotels, tours, visas, forex, insurance, rentals and corporate travel from one desk.
Is Tripgation a registered, accredited company?
Yes. We are a private limited company registered with the Ministry of Corporate Affairs (CIN U63030UP2020PTC128661), GST-registered, and IATA accredited (14381371). These are verifiable on the public register.
Where are your offices?
Our head office is in Noida, Uttar Pradesh, and we have a branch in Patna, Bihar. Most bookings are handled remotely by phone, email and WhatsApp, so you do not need to visit an office.
What are your working hours?
The desk is open Monday to Saturday, 09:00 AM to 07:00 PM IST. Travellers already on a trip have a 24×7 emergency number on their itinerary for disruptions and re-bookings.
How do I get a quote?
Send the route, dates and rough budget by phone, email or WhatsApp. You get an itemised quote — fare, taxes, hotel, transfers and our service fee shown separately. Nothing is booked or charged until you approve it in writing.
Do you charge for a quote or an itinerary?
No. Quotes and draft itineraries are free. You only pay once you approve a booking, and our service fee is always shown as its own line so you can see it.
Can I book online, or do I have to speak to someone?
Simple point-to-point flights and hotels can be booked directly. Anything with a visa, a multi-city routing, a group or a corporate policy goes through a consultant, because those are the bookings that go wrong when nobody checks them.
Do you handle both domestic and international travel?
Yes — domestic travel across India and international travel worldwide, for leisure and corporate travellers alike.
Do you only serve companies, or individuals too?
Both. The same team runs a family holiday and a fifty-traveller corporate programme; the service scales to what you need.
How is Tripgation different from a booking website?
A portal sells you a transaction. We pair experienced consultants with our own tools, so someone who knows your trip handles the fare rules, the visa timing and the re-booking when a plan changes — and answers the phone at 2 a.m. when it matters.
What does "One Platform. Every Journey." mean?

Can you help if I am a first-time traveller?
Yes. We walk first-time travellers through documents, baggage, airport process and what to expect on arrival, and can arrange a representative to meet you at the airport.
Do you offer airport meet-and-greet?
Yes. A named representative can meet you at the airport, seaport or hotel, handle the transfer and stay reachable until you are checked in. It is stated in your quote where booked.
What languages does your team work in?
English and Hindi as standard. Guides in other languages — French, German, Spanish, Japanese and others — are available in most destinations with notice.
How do I contact you in an emergency during my trip?
Call the 24×7 number printed on your itinerary. It reaches a duty officer with authority to rebook flights, move hotels and make payments without waiting for office hours.
Do you share or sell my personal data?
No. Your details are used to run your bookings and nothing else. They are not sold or shared for marketing. See our Privacy Policy for the full position.
Can I speak to the same person each time?
For ongoing and corporate accounts, yes — you get a named consultant who learns your preferences and history, rather than a fresh person each call.
Do you provide a GST invoice?
Yes. Every payment comes with a GST invoice showing your GSTIN where provided, which is why finance teams accept it first time.
What happens after I approve a booking?
We confirm and issue the tickets, vouchers and documents, send you the final itinerary with confirmation numbers, and remain your point of contact for any change before and during the trip.
How do I give feedback or raise a complaint?
Call or email the desk, or write to our grievance officer. We log service failures and address them; for corporate accounts, misses appear in the quarterly review whether or not you raised them.

20 questionsHow do I find the cheapest fare?
Be flexible by a day either side, book midweek departures where you can, and let us hold the fare while you decide. We check the same routing across carriers and fare classes rather than taking the first result. We do not claim a guaranteed lowest price — we show you the options and the trade-offs.
Do you book both domestic and international flights?
Yes — domestic sectors across India and international routes worldwide, on published, corporate-negotiated and group fares.
Can you hold a fare while I decide?
Often, yes — many fares can be held for a short window. We will tell you how long the hold lasts and what could change the price if you wait.
How much baggage am I allowed?
It varies by airline, route and fare class, and is printed on your ticket and repeated in your itinerary. Domestic economy in India is typically 15 kg checked plus 7 kg cabin; international allowances are usually higher. Pre-purchased excess is far cheaper than buying it at the airport, so tell us in advance if you are carrying more.
When should I reach the airport?
Two hours before a domestic departure, three hours before an international one. Add an hour if you are travelling in a group, checking sports equipment, or flying from a terminal you do not know.
Do I need to reconfirm my flight before departure?
You do not need to call the airline — we reconfirm schedules for every ticket we issue and contact you if a timing changes. Check in online 48 to 24 hours before departure, depending on the carrier.
Can I get my boarding pass before reaching the airport?
For most carriers, yes — check in online and use a mobile boarding pass. You still need to drop checked baggage at the counter, and some international destinations require an in-person document check.
What must not go in my cabin bag?
Liquids above 100 ml, sharp objects, lighters and matches, power banks above the airline limit, and any spare lithium battery packed in checked baggage. Rules change, so check your airline's current list before you pack.
Can I choose my seat and meal?
Yes, where the fare and airline allow it. Tell us your seat preference and any meal requirement (vegetarian, Jain, halal, allergy-specific) at booking and we request it and confirm back.
Can I book a special meal for dietary or religious needs?
Yes — request it at booking, not at the airport. We note it on the reservation and confirm it in writing. Special meals must usually be requested a set number of hours before departure.
What if my flight is delayed or cancelled by the airline?
Call the number on your itinerary. We work the re-accommodation with the airline and rebook you; where the airline owes a refund or compensation under its policy, we help you claim it.
Can I change or cancel a ticket after booking?
Yes, subject to the airline's fare rules — some fares allow free changes, others charge a fee or are non-refundable. We read the fare rules to you before ticketing so there are no surprises.
Do you handle group flight bookings?
Yes. Group fares, name changes managed close to travel, and arrival waves planned so transfers run efficiently. Group terms differ from individual tickets and are quoted separately.
Can you book multi-city and round-the-world routings?
Yes — complex multi-city and open-jaw itineraries are exactly where a consultant adds value, checking connections, minimum transfer times and fare construction.
Do infants and children need a ticket?
Infants under two travel at a reduced fare without their own seat; children two and over need a seat and a child fare. Each child needs their own photo ID for the airport.
What ID do I need for a domestic flight in India?
A government photo ID — Aadhaar, driving licence, voter ID or passport. Children need their own ID. Carry the original, not just a copy.
Can you book extra baggage or sports equipment?
Yes. Oversized and excess baggage for kit, cycles and specialist equipment is arranged with the airline in advance, so you are not turned away or overcharged at check-in.
Do you help with unused or partially used tickets?
Yes. Cancelled non-refundable tickets often keep residual value for a limited window; we track it and reapply it rather than letting it expire.
Can I earn frequent-flyer miles on flights you book?
Yes — give us your frequent-flyer number and we add it to the booking. Whether a specific fare earns miles depends on the airline and fare class.
What is web check-in and do you do it for me?
Web check-in is confirming your seat online before you reach the airport. For managed and corporate bookings we can do it for you; otherwise we send a reminder and a link.
Hotels
15 questionsWhat do EP, CP, MAP, AP and AI mean?
They are the meal plans attached to a room rate. EP is room only. CP includes breakfast. MAP includes breakfast plus one other meal. AP includes all three meals. AI, all inclusive, covers meals and usually selected drinks. Your quote states the plan against every hotel night.

Is a meal plan compulsory?
No. Many travellers take CP and eat out for the rest, which is usually better in a city. In remote areas with few restaurants, MAP or AP tends to be cheaper and simpler — we will say which we would pick.
Will I know which hotels I am staying in before I travel?
Always. Named hotels with confirmation numbers appear on your final itinerary before departure. We do not use "hotel to be advised" bookings; if a hotel becomes unavailable we replace it with an equivalent or better property and tell you first.
What star ratings do you use?
Three to five star as standard, plus heritage properties, boutique hotels and serviced apartments. Star ratings in India vary between states, so we work from recent guest feedback and our own site visits rather than the plaque at reception.
Can I request vegetarian, Jain, halal or allergy-specific food?
Yes. Tell us at booking, not at check-in. We note the requirement on the reservation and confirm it back to you in writing.
What is the child policy at hotels?
It varies by property. Most hotels allow one child under 12 free in existing bedding and charge for an extra bed. We calculate the exact cost for your party rather than quoting a general rule.
What are typical check-in and check-out times?
Usually check-in at 2 or 3 PM and check-out at 11 AM or noon. Early check-in and late check-out are subject to availability and sometimes a charge; we can request them in advance.
Can you arrange early check-in or late check-out?
We can request it, and flag it clearly if it carries a charge or cannot be guaranteed. For overnight-flight arrivals we often advise booking the previous night so the room is ready when you land.
Do hotels take a security deposit?
Many do — a card pre-authorisation or cash deposit at check-in against incidentals, refunded at check-out. This is the hotel's policy, separate from your booking with us.
Can I book a hotel only, without a package?
Yes. Hotels can be booked on their own, with the meal plan and room category stated, and with a GST invoice.
Do you offer serviced apartments and long-stay options?
Yes — serviced apartments and long-stay rates for relocations, project teams and extended family visits, often better value than a hotel for longer stays.
Are hotel rates per room or per person?
Our hotel quotes are per room per night for the stated occupancy and meal plan, unless a package explicitly prices per person. The quote spells it out so there is no ambiguity.
Can you get corporate or negotiated hotel rates?
For corporate accounts we negotiate annual rates on your top cities and load them so they are used by default. For leisure bookings we pass on the best available rate for your dates.
What if the hotel is not as described when I arrive?
Call the number on your itinerary immediately. We take it up with the hotel and, if it cannot be resolved, move you to an equivalent property. Raising it at the desk, not after you return, is what lets us fix it.

Tours
20 questionsAre your tours fixed packages or tailor-made?
Both. Most people start from one of our outlines and change half of it — that is the point of using a consultant. We also run fixed group departures where they suit you better.
What is included in a tour package?
Every quote lists inclusions and exclusions line by line. As a rule, packages include accommodation, stated meals, transfers and sightseeing with entry fees, and exclude visas, insurance, personal expenses, tips and anything marked optional. If it is not written down, it is not included.
What is not included in a package?
Typically visas, travel insurance, airfare unless stated, personal expenses, tips, camera fees, optional activities and anything payable directly on the ground. We list exclusions explicitly so there are no surprises.
How much does a private tour cost?
It depends on party size, hotel category and vehicle, so we do not publish a single headline number. Give us the dates and group size and you will have a costed itinerary within a couple of working days.
Can I customise the itinerary?
Yes — that is the norm. Tell us what you want to see, how fast you like to travel and what you will not compromise on, and we build around it.

What vehicles do you use for tours?
Sedans for couples, SUVs and Innova-class vehicles for families, and tempo travellers or coaches for groups. All air-conditioned, with commercially licensed drivers. The vehicle class is stated in your quote.
Do you provide tour guides?
Yes — government-approved guides in the major destinations, English and Hindi as standard, and other languages available with notice.
Do you handle group and family tours?
Yes — family groups, friends, community groups and corporate offsites, moved together on one plan with one point of contact and one invoice.
Can you arrange tours for senior citizens?
Yes. We build a comfortable pace, request ground-floor or lift-accessible rooms, arrange assistance where needed and keep the itinerary realistic.
Do you offer honeymoon and special-occasion packages?

What is the best time to visit a particular destination?

Do you arrange pilgrimage and religious tours?
Yes — faith journeys across India and abroad, with the logistics, permits and pacing handled so you can focus on the visit.
Can you arrange cruises?

How far in advance should I book a tour?
The earlier the better for peak seasons, festivals and popular properties, which sell out and price up. For flexible off-season travel, shorter lead times are fine. We will tell you honestly when your dates need early booking.
Do you arrange visas and insurance with the tour?
Yes — visa support, forex and travel insurance are arranged alongside the tour, so it is one coordinated plan rather than separate errands.
Can I add optional activities and excursions?
Yes. Optional activities are listed with indicative costs; some are payable on the ground directly to the operator. We flag which is which so your budget is clear.
What happens if something changes during the tour?
Weather, permits and road conditions can force changes — we build sensible alternatives into the plan and the 24×7 desk handles re-arrangements on the ground.

No, and neither can anyone else — visa issuance is solely at the discretion of the embassy, consulate or immigration authority. What we do is make sure your file is complete, consistent and submitted correctly, which is where most avoidable refusals come from.

How do I start a visa application with you?
Send your passport details and destination. You get a document checklist within a day, a case handler who owns your file, and an appointment booked once your documents pass our check.
What documents do I need for a visa?
It varies by country and visa type, but commonly: a passport valid at least six months with blank pages, photographs to the exact specification, financial proof, a confirmed itinerary, and purpose-specific documents (invitation, admission or employment letters). We issue a checklist for your exact case.
How long does a visa take to process?
It depends on the country, the visa type, the season and the mission's own queue, and it changes. We give you a realistic, current estimate for your case rather than promise a fixed number of days.
How much does a visa cost?
The embassy/consular fee plus our service fee, shown together on one estimate upfront. Government fees are set by the authority and can change; we confirm the current figure before you pay.
What is the difference between visa-free, visa-on-arrival, e-Visa and embassy visa?
Visa-free means no visa is needed for the allowed stay; visa-on-arrival is issued at the border; e-Visa is applied for online before travel; an embassy visa is applied for at the mission or a visa centre before you go. The access type depends on your passport, destination and purpose.
What is the Check Eligibility tool?

How long should my passport be valid?
Most countries require at least six months' validity beyond your return date, and two or more blank pages. If your passport is close to expiry, renew it before applying.
Can you help renew or reissue my passport?
We guide you on the passport process and timing so it does not hold up your visa, and plan the application around it. The passport itself is issued by the Passport Seva / Ministry of External Affairs.
What happens if my visa is refused?
A refusal must be declared in future applications, so it matters how it is handled. We review the likely reason, help you address it, and advise whether and when to reapply. We never hide a prior refusal.
Do I need travel insurance for my visa?
For Schengen countries and several others it is mandatory, with a minimum cover level. Elsewhere it is optional but usually worth having. We will tell you plainly when it is required.
Do you handle student visas?
Yes — student visa applications with the admission letter, financial proof and the specific documents each country requires, planned around your course start date.
Do you handle work and employment visas?

Can you book the visa appointment for me?
Yes. Once your documents pass our check, we book the embassy, consulate or visa-application-centre (VFS, TLScontact, BLS and others) slot, including hard-to-get releases where available.
Where do I apply — which city or centre?
It depends on the destination and the jurisdiction your state falls under. Applications are made at an embassy, consulate or visa centre in a major metro; we confirm the exact centre for your case.
Are biometrics required?
For many countries, yes — fingerprints and a photo taken at the visa centre. We tell you whether your application needs biometrics and book the enrolment with the appointment.
What are the most common reasons visas get refused?
Incomplete or inconsistent documents, funds that do not match the trip, weak proof of ties to home, photos not to specification, appointments booked too late, and past overstays or refusals not properly addressed. We screen for all of these before submission.
What is MEA attestation and do I need it?
MEA attestation is authentication of an Indian document by the Ministry of External Affairs so it is accepted abroad — often needed for employment, education and family visas. Whether you need it depends on the destination and document; see our MEA Attestation page.
What is an apostille and when is it needed?
An apostille is a single MEA certificate accepted by all Hague Convention member countries with no further embassy step. If your destination is a Hague member, an apostille replaces embassy attestation. See our Apostille page.
What is the difference between apostille and embassy attestation?
An apostille is for Hague-member countries and needs no embassy step; embassy attestation is for non-member countries (the Gulf states are common) and follows MEA attestation. We confirm which route your destination needs.
Can you handle document attestation for work abroad?
Yes — educational, personal and commercial document attestation through the state, MEA and embassy chain, with pickup, tracking and return handled.
Do you provide a document checklist specific to my case?
Yes. Rather than a generic list, we issue a checklist built for your nationality, destination, visa type and purpose, and check every page before it is submitted.
Can you expedite or fast-track a visa?
Some countries and centres offer premium or priority processing for an extra fee; availability comes and goes. We tell you honestly whether a genuine fast-track exists for your case — we never promise speed the mission does not offer.
Do you handle group and corporate visa applications?
Yes — group visas for delegations, teams and events, and corporate visa programmes with passport-validity monitoring across your travellers.
What is a transit visa and do I need one?
A transit visa lets you pass through a country between flights. Whether you need one depends on your nationality, the airport, whether you leave the transit area and the layover length. We check your specific routing.
Can I travel while my visa is being processed?
Not on that application — you should not book non-refundable travel until the visa is issued, and we advise on refundable or hold options while an application is in progress.
Do visa rules and fees change often?
Yes — access types, fees, documents and appointment availability change, sometimes at short notice. We confirm the current position against the specific mission for your dates rather than rely on last year's checklist.
Insurance

We arrange travel insurance for corporate and leisure travellers through insurance partners. The policy is issued and underwritten by a licensed insurer; we help you choose cover that matches your itinerary and make the claim if you need to.
Who underwrites the policy?
The policy is issued by a licensed insurance company (our partner insurer). Tripgation arranges and services the policy; the insurer carries the risk and pays the claim under the policy terms.
Do I really need travel insurance?
For Schengen countries and several others it is mandatory, with a minimum cover level. Everywhere else it is optional but usually worth it for medical emergencies and trip disruption. We will tell you plainly when you can skip it.
What does travel insurance typically cover?
Commonly: emergency medical treatment and evacuation, trip cancellation and curtailment, baggage loss or delay, flight delay, passport loss and personal liability. The exact cover, limits and exclusions are in the policy document, which we send before you buy.
What is usually not covered?
Typically pre-existing conditions unless declared and accepted, high-risk activities unless added, losses from known events, and anything excluded in the policy wording. Read the exclusions — we point out the ones that matter for your trip.
Does it cover pre-existing medical conditions?
Only if declared and accepted by the insurer, sometimes for an additional premium. Declare conditions honestly at purchase — an undeclared condition can void a claim.
What is the minimum cover for a Schengen visa?
Schengen states require travel medical insurance with a minimum medical cover valid across the Schengen area for your trip dates. We arrange a compliant policy and provide the certificate for your application.
Can I get a policy for a single trip and for the whole year?
Yes — single-trip cover for one journey, and annual multi-trip cover for frequent travellers, which is usually better value if you travel several times a year.
Can you insure a family or a group on one policy?
Yes — family and group policies covering everyone on one plan, which is simpler and often cheaper than individual policies.
Does it cover adventure or sports activities?
Standard policies often exclude high-risk and competitive sports. Sports-specific or adventure add-ons can be arranged — tell us the activities so the cover actually matches the trip.
How do I make a claim?
Contact the insurer's assistance line as soon as the event happens (the number is on your policy), keep all bills and reports, and we help you assemble and submit the claim. Claims are assessed and paid by the insurer under the policy terms.
What documents do I need for a claim?
It depends on the claim — typically the policy, original bills and medical or police reports, proof of travel, and a completed claim form. Keep originals; we will tell you exactly what your claim needs.
When should I buy travel insurance?
As early as possible — ideally when you book — so cancellation cover applies from the moment you have money at risk, not just from the departure date.
Does travel insurance cover COVID-19 or pandemics?
It varies by policy and insurer, and terms change. We check the current wording for pandemic-related medical and cancellation cover and tell you what is and is not included before you buy.
Can I extend my policy if my trip is extended?
Often yes, if requested before the policy expires and subject to the insurer. Tell us as soon as you know your return is delayed so cover is not interrupted.
Forex
15 questionsIs Tripgation authorised to sell foreign exchange?
Tripgation is a travel management company, not an RBI-authorised dealer or money changer. We arrange your forex through RBI-authorised partners — Thomas Cook (India) and EbixCash / Ebix Forex — who carry out the regulated transaction under their own authorisation.
Who actually issues the currency and forex card?
The authorised partner. Currency notes, the prepaid forex card and any remittance are issued and settled by the RBI-authorised partner; Tripgation helps you compare, complete the paperwork and take delivery.
What forex services can you arrange?
Foreign currency notes, prepaid forex (travel) cards, buying and selling/encashing forex, outward remittance under LRS, and student, corporate and travel forex.
What is a forex card and why use one?
A prepaid travel card loaded in foreign currency, with the rate locked on the day you load it. It is blockable and replaceable if lost, and usually safer and cheaper to spend abroad than a domestic card.
What documents do I need to buy forex?
Your passport, a confirmed air ticket within the permitted window, a valid visa where required in advance, your PAN, and a signed Form A2 and declaration (which we prepare). Students and medical travellers also bring the admission/fee or hospital estimate.
Is PAN mandatory for forex?
Yes. PAN is required to buy foreign exchange and for the TCS certificate — the transaction cannot be completed without it.
What is the LRS limit?
Under the Liberalised Remittance Scheme, a resident individual may remit up to a set annual limit per financial year for permitted purposes. The figure is set by the RBI and revised over time; we confirm the current limit for your transaction.
How much foreign currency can I carry as cash?
Only a capped amount of your entitlement may be taken as currency notes; the balance is issued on a forex card. The cap is set under FEMA and confirmed at the time of your transaction.
What is TCS on forex — is it a charge I lose?
Tax Collected at Source applies to foreign remittance above a threshold, at a rate depending on your purpose (lower for education and medical than tourism). It is not a fee — it is adjusted against your income-tax liability when you file your return.
What is KYC and why is it needed?
Know Your Customer verification — identity and address proof plus PAN — is completed by the authorised partner for every forex transaction, as required by regulation. For companies, entity KYC and an authorised-signatory mandate apply.
Can I get currency delivered, or do I collect it?
Both — doorstep delivery of currency and cards in serviceable cities, or collection from an authorised branch. Forex cards can be reloaded remotely during your trip.
Can I sell or encash leftover foreign currency after my trip?
Yes. Unused foreign currency or a card balance is bought back / encashed at the prevailing rate within the surrender window prescribed under FEMA after your return.
What are the refund and cancellation terms on forex?
Encashment of unused currency or a card balance is at the prevailing rate within the FEMA window; any cancellation terms or charges follow the authorised partner's policy and are shown to you before you confirm.
Should I decline "pay in rupees" when paying abroad?
Yes. When an overseas card machine offers to bill you in INR (dynamic currency conversion), the rate is set by the terminal operator and is reliably worse. Choose the local currency every time.

A named account manager, your travel policy built into the approval flow, negotiated hotel and airline rates, consolidated monthly invoicing with GST, and quarterly savings reporting.
How small is too small for a managed travel programme?
If you book a handful of trips a year, book them yourself — we will say so. Somewhere around fifteen to twenty trips a year the admin time alone justifies a desk; by fifty, policy and reporting start paying for themselves. Send your invoices and we will tell you honestly which side of that line you are on.
Can you enforce our travel policy?
Yes. We configure grade-wise entitlements, advance-booking rules and fare ceilings, and route out-of-policy requests to your approver rather than quietly booking them.
How long does it take to set up a corporate account?
About four weeks from first meeting to going live: a week to analyse your spend, a week to draft and agree the policy, a week to load profiles and rates, and a week running alongside your existing process before switching over.
How do you charge — and do you take supplier commission?
A stated transaction fee per booking, or a monthly management fee for larger programmes, shown on the quote. We do not fund ourselves on undisclosed supplier commission, so the fee is the whole of what we earn from you.
Do we have to change how our team books?
Less than people expect. Requests come from the same people; they arrive at a named consultant and a system of record instead of a chat group. For the first fortnight we run alongside your existing process so nobody is stranded.
What is duty of care and how do you support it?
It is your obligation to a traveller in an emergency. We keep a live record of who is where, a 24×7 number that answers, and a documented response when a city becomes a problem overnight.
Can you provide consolidated invoicing with our GSTIN?
Yes — air, hotel, ground and forex consolidated monthly, with cost centre and project code on every line and your GSTIN, so finance stops matching card statements to boarding passes and the input credit is not forfeited.
What reporting and MIS do we get?
Spend by route, city, carrier and traveller, booking lead times, policy compliance, rate leakage, recovered ticket value — and our own missed SLAs — reviewed each quarter against your own data.
Do you handle international corporate travel and visas?
Yes — international bookings with the visa, forex, insurance and attestation handled together, and passport-validity monitored across your traveller base.
Can you manage group travel, MICE and events for us?
Yes — offsites, dealer meets, conferences and incentive trips: venue sourcing, room blocks, airport waves and on-ground coordination, contracted as one scope.
Is there a self-serve dashboard?
The programme is run and reported by your account team today, covering booking, approvals, profiles, policy, reports, invoices and MIS. A self-serve online dashboard giving you direct access to those views is in active development — we would rather describe what exists than promise a screen we have not shipped.
Can you load our existing airline and hotel deals?
Yes. Existing corporate agreements are loaded into your profile and applied automatically. Where a deal underperforms against your actual routes, we say so at the review rather than booking around it.
How do approvals work?
Requests are routed to the right approver against your policy, with out-of-policy items flagged before they are booked, and an escalation path when an approver is unreachable.
What happens at 2 a.m. if a trip breaks?
A duty officer answers, with authority to rebook flights, move hotels and pay without waiting for office hours. Approval is reconciled afterwards — a number that only takes messages is not cover.
Who can see our travel data?
Your account team and the systems needed to run your bookings. It is not sold or shared for marketing. Duty-of-care access is defined by you during onboarding.
Can we set traveller profiles and preferences once?
Yes — passport, visa validity, seat and meal preferences and entitlements are held per traveller, so nobody re-keys them every trip.
Do you support SMEs, not just large corporates?
Yes — we built the business for companies without a dedicated travel manager, running the same policy and duty-of-care discipline for a forty-person firm.
What if we want to leave?
You take your data with you — traveller profiles, rate agreements in your own name, unused ticket records and spend history, in a usable format. Notice terms are in the contract and we do not make leaving difficult.

Payments
15 questionsHow do I pay?
UPI, net banking, NEFT or RTGS, and major credit and debit cards. Corporate accounts can be set up on credit terms after a credit check. You receive a GST invoice for every payment.
Is it safe to pay online?
Yes — payment goes through a secure payment-gateway link we send you, or through your own bank transfer. We never take card numbers over email or WhatsApp. If anyone claiming to be from Tripgation asks you to type card details into a chat, stop and call the office.
Do you accept international cards and payments from abroad?
Yes, through the secure gateway for most international cards. For large or unusual payments we will confirm the best route with you.
When is the balance payment due?
An advance confirms the booking; the balance is due before documents are issued. Exact amounts and dates are on your invoice — airline and hotel deadlines drive them, not us.
How much advance do I need to pay to confirm a booking?
It depends on the booking — some suppliers require full payment to ticket, others take a deposit. Your quote states the advance and the balance schedule before you commit.
Will I get a GST invoice?
Yes — a GST invoice for every payment, with your GSTIN where provided. Tell us your billing entity and GSTIN at booking so the invoice is right first time.
Can I pay in instalments or EMIs?
Some card issuers offer EMI on the payment gateway, and certain products allow staged payments against supplier deadlines. We tell you what is possible for your specific booking.
Do you store my card details?
No. Card payments are handled by the payment gateway; we do not store card numbers. This is deliberate, for your security.
What currency will I be charged in?
Indian rupees for bookings invoiced by us, unless a specific product is quoted otherwise. The invoice states the amount and currency clearly.
Are there any hidden charges or convenience fees?
No hidden charges. Our service fee is shown as its own line; any payment-gateway or supplier charge is disclosed before you pay. If it is not on the quote, you are not paying it.
How do I know my payment went through?
You get a payment confirmation and an updated invoice. If a gateway payment is pending or fails, we confirm the status with you before treating the booking as paid.
Can I get a payment link to share with someone else paying for me?
Yes — we can send the secure payment link to the person settling the invoice. The GST invoice is raised to the billing entity you nominate.
Do corporate accounts get credit terms?
Yes — after a credit check, corporate accounts can be set up on agreed credit terms with consolidated monthly billing, rather than paying per booking.
What should I do if I get a suspicious payment request?
Do not pay. We only send payment links from our official channels and never ask for card details in chat. If in doubt, call the office number on our website to verify before paying.
How do refunds get paid back to me?
Approved refunds are paid to the original payment method or your bank account, once the airline, hotel or supplier releases the amount. Timelines depend on the supplier and your bank — see our Cancellation & Refund answers.

Cancellation charges depend on how close to your travel date you cancel. Flight tickets follow the airline's own fare rules, which can be stricter, and third-party products (cruise, rail, festival-period hotels) follow that supplier's terms.

How do I cancel a booking?
Tell us in writing (email or WhatsApp) as early as you can — the cancellation charge depends on the date we receive your request. We confirm the applicable charge and the refund amount before processing.
How long does a refund take?
It depends on the supplier and your bank. Once the airline, hotel or supplier releases the amount, it is passed to you; card refunds typically take a few billing cycles. We tell you the expected timeline for your specific refund.
Are flight cancellation charges different from package charges?
Yes. Flight tickets follow the airline's fare rules, which can be stricter than our package schedule — some fares are non-refundable. We read the fare rules to you before ticketing.
What is a non-refundable booking?
A rate or fare where no money is returned on cancellation, usually cheaper in exchange for that restriction. We flag non-refundable elements clearly before you book so the trade-off is your choice.
Do you charge your own cancellation fee?
Our service fee for work already done may be retained, and is stated upfront. The larger part of any charge is set by the airline, hotel or supplier, not by us.
Can I get a refund if the airline cancels my flight?
If the airline cancels, you are generally entitled to a refund or re-accommodation under its policy. We handle the claim with the airline and pass on what they release.
What if I need to cancel due to a medical emergency?
Supplier cancellation terms still apply, but travel insurance with cancellation cover may reimburse non-refundable costs for covered reasons. Keep the medical documentation — we help you claim.
Can I change my booking instead of cancelling?
Often changing is cheaper than cancelling. Depending on the fare and supplier, we can amend dates or details for a change fee plus any fare difference — ask before you cancel.
What happens to visa and service fees if I cancel?
Government and embassy fees are generally non-refundable once an application is submitted, and work already done on your file is chargeable. We tell you what is recoverable before you cancel.
Do you offer a money-back guarantee?
No blanket guarantee — once an airline or hotel has taken payment, the refund is governed by their rules, not ours. What we do guarantee is our own service fee: if we make the error, we refund our fee and cover the cost of fixing it.
How do cancellation terms work for cruises and rail?
They follow the cruise line's or railway's own cancellation schedule, which is often stricter and applies in addition to ours. We show you those terms before you book.
What if I cancel during peak or festival season?
Festival-period and peak-season hotels and fares often carry stricter, sometimes fully non-refundable, supplier terms. We flag these clearly at booking.
Will I be refunded taxes on a cancelled ticket?
Government and airport taxes are usually refundable even on some non-refundable fares, minus the airline's processing charge. We claim recoverable taxes on your behalf.
How do I check the status of my refund?
Contact the desk with your booking reference and we tell you where the refund stands — whether the supplier has released it and when to expect it in your account.
