These Terms & Conditions (“Terms”) govern your use of tripgation.com and the travel services provided by Tripgation Private Limited (“Tripgation”, “we”, “us”). By making an enquiry, a booking or using this website you accept these Terms. They are written for Tripgation’s Indian operations and are in addition to the terms of the airlines, hotels, tour operators, insurers and authorised partners whose products we arrange.
1. Terms & Conditions
Tripgation acts as a travel agent and intermediary: we arrange flights, hotels, tours, car rentals, visa assistance, travel insurance, foreign exchange and corporate travel provided by third-party suppliers and authorised partners. Except where we expressly provide a service ourselves, your contract for each product is with the relevant supplier, and that supplier’s terms apply alongside these Terms.
You confirm that you are at least 18 years old and legally able to enter into a contract, that the information you give us (names, passport details, contact details) is accurate, and that you are authorised to make the booking for everyone in your party. Quotes are indicative until confirmed; prices, availability and taxes are subject to change until a booking is ticketed or confirmed and paid. We reserve the right to correct genuine errors in pricing or description before a booking is confirmed.
We are not liable for the acts, omissions or default of any supplier, or for events beyond our reasonable control (force majeure) including weather, strikes, civil unrest, epidemic, government action, technical failure or airline schedule changes. Our total liability for any matter within our control is limited to our own service fee for the affected booking.
2. Travel Management Terms
These terms cover how bookings are quoted, confirmed, amended and cancelled through Tripgation. A booking is confirmed only when we issue a written confirmation and the required payment is received. Amendments are subject to supplier availability and rules, and may attract a fare or rate difference plus a service fee, disclosed before we proceed.
Our service fee is stated separately on every quote and is earned for arranging, managing and supporting your booking; it is distinct from supplier charges. Corporate accounts are additionally governed by the travel policy, approval matrix and credit terms agreed with your organisation at onboarding, which prevail for those bookings. You are responsible for reviewing your itinerary, passenger names and travel dates on confirmation and telling us of any error immediately, as post-ticketing corrections may not be possible or may carry supplier charges.
3. Flight Booking Terms
Air tickets are governed by the fare rules and conditions of carriage of the operating airline, which we make available before ticketing. Fares are not guaranteed until the ticket is issued; some fares are non-changeable or non-refundable. Name changes are generally not permitted by airlines and a new booking may be required.
Passenger names must exactly match the passport or government photo ID used for travel. You are responsible for holding valid travel documents, visas and health requirements for your itinerary, including transit points. Check-in, baggage allowance, seat and meal options are set by the airline. In the event of airline schedule changes, delays or cancellations, re-accommodation, refunds and compensation are governed by the airline’s policy and applicable regulations; we will assist you in pursuing them.
4. Hotel Booking Terms
Hotel bookings are subject to the property’s terms, including check-in/check-out times, room category, occupancy and meal plan as stated on your voucher. Star ratings are indicative and vary between states. Some rates are non-refundable or carry stricter cancellation terms, which are disclosed at booking.
The hotel may require a valid photo ID and a card pre-authorisation or cash deposit at check-in for incidentals, which is a matter between you and the hotel. Special requests (early check-in, adjoining rooms, dietary needs) are requested but not guaranteed unless confirmed in writing. If a confirmed property becomes unavailable, we will arrange an equivalent or better alternative and inform you.
5. Tour Terms
Tour packages include only the components listed as inclusions in your itinerary; visas, insurance, personal expenses, tips, camera fees and anything marked optional are excluded unless expressly stated. Itineraries are indicative and may be adjusted for weather, permits, road conditions, monument closures or events beyond our control; we will provide reasonable alternatives of comparable standard.
Vehicle class, guide language and sightseeing are as stated in the quote. Certain activities are payable directly to the operator on the ground and may carry their own safety rules and waivers. Group and fixed-departure tours may carry minimum-numbers conditions and separate cancellation terms, disclosed at booking. You are responsible for being fit to travel for the activities chosen and for carrying required documents throughout the tour.
6. Payment Terms
We accept UPI, net banking, NEFT/RTGS and major credit and debit cards through a secure payment gateway, and bank transfer to our current account held with ICICI Bank. A GST invoice is issued for every payment; provide your billing entity and GSTIN at booking for correct invoicing. An advance confirms the booking and the balance is due before documents are issued, per the dates on your invoice, which are driven by supplier deadlines.
We never request card numbers, CVV or OTP by email, WhatsApp or phone; pay only through the official gateway link or our verified bank account. Corporate credit terms are available after a credit check. Applicable taxes (including GST) and, for foreign remittances, Tax Collected at Source (TCS), apply as per prevailing law. Where a payment fails or is disputed, the booking may not be held; chargebacks raised without first contacting us may be treated as a breach of these Terms.
7. Cancellation & Refund Policy
Cancellations must be requested in writing (email or WhatsApp). Charges depend on how close to the travel date we receive your request. The following is the standard schedule for tour packages booked directly with us:

Flight tickets follow the operating airline’s fare rules, which may be stricter and are often non-refundable. Third-party products (cruises, rail, trade-fair and festival-period hotels, insurance and forex) follow that supplier’s own cancellation rules, which apply in addition to ours. Government and consular fees (for example, visa fees) are generally non-refundable once an application is submitted, and work already performed on your file is chargeable.
Where a supplier issues a refund to Tripgation, we pass it on to you after deducting our service or processing fee and any non-recoverable supplier charges, once the supplier releases the amount. Refunds are made to the original payment method or your bank account; the time to receive it depends on the supplier and your bank. We do not offer a blanket money-back guarantee, but we stand behind our own work: if a booking error is ours, we refund our service fee and bear the cost of correcting it.
8. Visa Disclaimer
Tripgation provides visa information, documentation assistance and application support. Visa issuance is solely at the discretion of the relevant embassy, consulate, immigration authority or visa application centre. Tripgation does not guarantee visa approval or processing time.
We provide information, document checking and application support based on the requirements known to us at the time. Visa rules, fees, documents and processing times are set by the relevant authorities and change without notice. Any timelines or fees we quote are indicative and confirmed for your specific case before you pay. You are responsible for the accuracy and authenticity of the documents you submit; providing false information may lead to refusal and is your responsibility.
9. Travel Insurance Disclaimer
Tripgation arranges travel insurance as an intermediary. Policies are issued and underwritten by a licensed insurance company, and all cover, limits, exclusions, claims and settlements are governed solely by the policy wording and the insurer. Tripgation does not underwrite insurance and does not decide or guarantee claims.
Read the policy document, including exclusions and the treatment of pre-existing conditions, before purchase, and declare all material facts to the insurer. Cover for specific risks (adventure sports, pandemics, cancellation) depends on the policy selected. In the event of a claim, contact the insurer’s assistance line promptly and retain all required documents; we will help you compile and submit the claim, but the decision rests with the insurer.
10. Forex Disclaimer
Tripgation Private Limited is a travel management company and is not an RBI-authorised dealer or money changer. Foreign-exchange services are provided by our RBI-authorised partners (Thomas Cook (India) Limited and EbixCash / Ebix Forex), who carry out the regulated transaction, KYC and settlement under their own authorisation.
All foreign-exchange transactions are subject to the Foreign Exchange Management Act (FEMA), the Liberalised Remittance Scheme (LRS), applicable RBI regulations and Tax Collected at Source (TCS) under the Income-tax Act. Exchange rates, statutory limits, fees and TCS are set by the authorities and the authorised partner and are confirmed to you before any transaction. PAN and KYC are mandatory. Figures shown on our site are indicative and dated; confirm the current position before relying on them.
11. Website Policy
The content, design, text, graphics and logos on tripgation.com are owned by or licensed to Tripgation and protected by law; you may not copy, reproduce or republish them without permission. You agree to use the site lawfully and not to attempt to disrupt it, gain unauthorised access, or scrape or misuse its content or forms.
Destination, pricing, availability and visa information on the site is provided in good faith for general guidance, can change, and is subject to confirmation at the time of booking. Links to third-party sites are provided for convenience and are not endorsements; we are not responsible for their content. Our use of cookies and handling of personal data is covered in our Privacy Policy and Cookie Policy. This website and its use are governed by Indian law, including the Information Technology Act, 2000.
12. Careers Terms
These terms apply to applications for employment with Tripgation. When you apply or send us your CV (via Employment or careers@ / employment@tripgation.com), you consent to us processing the personal data in your application to assess your suitability and to contact you about the role and future openings, in line with our Privacy Policy. Provide accurate information; misrepresentation may end an application or, later, employment.
An application does not create an offer or a contract. Any offer of employment is made in writing and is subject to satisfactory references, background verification and eligibility to work in India. The specific terms of employment are set out in the individual offer letter and employment agreement, which prevail over this summary. Tripgation is an equal-opportunity employer and does not charge candidates any fee at any stage of recruitment — beware of anyone requesting payment in our name.
13. Hiring Terms (Vendors & Recruiters)
These terms apply when Tripgation engages external vendors, suppliers, freelancers or recruitment partners. Engagements are governed by a written scope of work or purchase order specifying deliverables, fees, timelines and payment terms; confidentiality and data-protection obligations apply to any Tripgation or traveller information shared.
Recruitment agencies must not submit candidate profiles without a signed agreement and a specific written request; unsolicited profiles create no obligation and no fee. Vendors warrant that they hold the licences and registrations required for their services and will comply with applicable law. Either party may terminate an engagement per the notice in the relevant agreement. Prospective vendors and recruiters may contact our team or recruiters@tripgation.com for current engagement terms.
14. Governing Law, Jurisdiction & Grievances
These Terms are governed by and construed under the laws of India. Subject to any consumer-protection rights you have, the courts at Gautam Buddha Nagar (Noida), Uttar Pradesh have jurisdiction over any dispute. We may update these Terms from time to time; the version published here at the time of your booking applies, and the “last updated” date above shows the current version.
